No blog is complete without some kind of inspiring words or backstory, right? Like my high school history teacher would always say, “history will always repeat itself.” And just like history, trends will ALWAYS repeat themselves as well. We’ll save trends and themes for another blog; Let’s start with the beginning. I want to start with one of the most left out essential elements I see that clients don’t think of as beneficial or impactful. The Classic Entrance. All too many times I hear from clients, “I don’t want to waste money on an entrance.” And my initial response to these clients is always, “But, why? Are you sure?” Buckle up friends, and let me let you in on my little secret why this overlooked aspect needs to be kept…

The entrance is the initial handshake, or better yet that hug your attendees expect to see and feel first. Now I get it, it could be perceived as a “want” vs a “need” but I’m here to tell you it’s a necessity.  BUT! We must first change it up a bit.

At Access, we understand the importance of making a memorable first impression. The entrance to your event sets the tone and creates anticipation for what is to come.  Guests should feel welcomed with open arms, but also with a grand and immersive entrance experience that will really get your party started.

Your entrance is the first thing your guests see, and it should accurately represent the overall theme and of course your branding but most importantly, make your guests feel excited, energized, and ready to party. Whether you are going for a sophisticated and elegant feel or a playful and fun atmosphere, your entrance should welcome and give your guests a taste of what’s to come.

We don’t want you to settle for just a basic 2D entrance or meter board when we could make it immersive with lighting and technology! Imagine walking through a tunnel of LED lights or a holographic display that transports guests into a different world. By using technology to enhance the entrance, guests will feel like they are stepping into a whole new world. Just like Aladdin!

Kick it up a notch and think about adding entertainment to your entrance experience. This can be anything from a live performance to a photo activation or interactive installation. Now you’re taking the event to the social world with guests taking selfies and being that Instagram Influencer, they’re striving to be. By adding an element of entertainment, guests are entertained as they enter the event, and the entertainment can move into the ballroom and continue to interact with guests throughout the night.

But why does the entrance need to be outside the room to begin with? By setting it inside the event space, you can turn it into a part of the decor itself. Think about incorporating elements from your theme or color scheme into the entrance design, so that it seamlessly flows into the rest of the event space. Not only will it look stunning, but it will also make your guests feel like they are part of a cohesive and immersive experience. Not to mention, now it’s part of the event space and doubles as additional décor – that’s a win-win, right?

The entrance to your event is more than just a doorway. It's the first impression your guests will have, and it sets the vibe for the entire evening. By creating an immersive entrance experience that's consistent with your theme, complementing the overall design, and incorporating entertainment, you'll set the stage for an unforgettable event. At the end of the event, when everyone has gone back to their hotel rooms, our goal is to ensure your event transcends far past the ballroom space and duration of your conference.
